Equipment Purchase Justification Template (Free, Copy and Edit)
Many universities, hospitals and government labs ask for a written justification when you request a specific brand or model of lab equipment, especially above a spending threshold or when you are not choosing the lowest bid. Below is a template you can copy into your requisition and edit. It works for any supplier, not only ours.
When you need one
- Brand or specification justification: you want a specific model because of its specifications, documentation, compatibility or support.
- Sole-source justification: only one supplier can meet the requirement. This is a stricter claim; only use it when it is literally true, because purchasing offices check.
- Grant budget justification: a short paragraph per equipment line explaining why the item is needed for the project.
Template: brand / specification justification
Replace everything in [brackets].
Item requested: [Manufacturer, model, quantity, unit price, total]
Purpose: This instrument is required for [describe the work, e.g. weighing reagents for QC release testing / measuring pH of production batches] in [lab / department].
Required specifications: The work requires [readability / range / accuracy, e.g. 0.01 g readability up to 2000 g with linearity within ±0.03 g]. The selected model meets these requirements: [list the matching specifications].
Documentation and compliance: The supplier provides [calibration certificate / serial-traceable documentation / IQ/OQ qualification template], which our [quality system / audit / SOP name] requires for new instruments.
Alternatives considered: We compared [alternative 1] and [alternative 2]. [Alternative 1] does not meet [requirement]; [alternative 2] meets the requirement at [price], [X]% more than the selected model.
Support and warranty: [Warranty length], with [US-based / local] technical support.
Conclusion: The [model] is the lowest-cost option that meets all stated requirements.
[Name, title, date, signature]
Template: grant budget line
[Item], [quantity] @ $[unit price] = $[total]. Required for [aim / task] to [measurement or preparation the item performs]. Selected for [key specification] and [documentation / support], at a lower cost than comparable laboratory-brand instruments. Quote [number], valid until [date], attached.
Tips that get justifications approved
- Tie every requirement to the work, not to preference (“the method requires 0.01 g”, not “we like this brand”).
- Name at least two alternatives and say exactly why each falls short or costs more.
- Attach a formal quote with a quote number and validity date.
- If your lab is audited, mention the documentation requirement explicitly; it is often the deciding factor.
